Why Operations Choose Kona Organic to Write Their Plan

A plan copied from a template gets questions. A plan written from how you really work gets approved.

Common Questions

What is an Organic System Plan?

It is the written plan your certifier reviews. It explains how you grow or handle products, what inputs you use, and how you keep records.

What are SOPs?

Standard operating procedures are short, step by step instructions for tasks like cleaning, pest control, and storage. Certifiers expect them to match what your crew really does.

How long does it take to write a plan?

Most plans take a few weeks, depending on the size of your operation.

Do you update existing plans?

Yes. We update plans every year when you add fields, products, or suppliers.

Do I still work with my certifier?

Yes. Your certifier reviews and approves the plan. We write it so that review goes smoothly.

Can you write plans for handlers too?

Yes. We write plans for farms, processors, packers, food brands, and importers.

How often do I update my Organic System Plan?

Every year at renewal, and any time you change something that matters, like a new field, a new input, or a new product. Tell your certifier before you make the change.

Can I write my own Organic System Plan?

Yes. Your certifier gives you the forms for free, and many farms fill them in on their own. People hire us when time is short, the operation is complex, or a plan came back with questions.

What goes in an Organic System Plan?

Your practices, every input you use, how you check that the plan is working, your records, and how you keep organic products apart from everything else.

Do you use the forms from my certifier?

Yes. Every certifier has its own forms. We write your plan on the forms your certifier uses.

What if I have not picked a certifier yet?

We help you compare certifiers first, then write the plan on the forms of the one you choose.

What does it cost to have a plan written?

We quote a flat price after a free 15 minute call, once we know your crops or products and your deadline.

Is an Organic System Plan the same for a farm and a food business?

No. Farms fill in a crop plan. Processors, packers, and brands fill in a handling plan. Some operations need both.

What Goes in an Organic System Plan

The USDA organic rule asks every plan to cover six things. We write each one from how you really work.

1. Your practices. What you do in the field or the plant, and how often you do it.

2. Your inputs. Every seed, fertilizer, spray, ingredient, and cleaner, and where it comes from.

3. Your checks. How you make sure the plan is being followed, and how you guard against fraud.

4. Your records. The logs you keep and where you keep them.

5. Keeping organic apart. How you stop mixing with non organic products and contact with prohibited substances.

6. Anything else your certifier asks for.

How We Develop Your Plan

First, a free call. Then you send us what you have, and we ask for the rest. We write the draft on the forms your certifier uses. You read it, and we fix anything that does not match what you really do. We help you send it in and answer the questions that come back. Each year we bring it up to date.

What to Send Us

A field map or a floor plan. Three years of land history for farms. Your input list with labels. Seed and plant sources. Your products, recipes, and labels. Your supplier list. Do not worry if some are missing. Finding the gaps is part of the job.

Why Plans Get Sent Back

Most plans come back for the same few reasons. Input labels are missing. The map does not show buffers. The plan names records that are not being kept. Or the plan says one thing and the operation does another. We check for all four before you send it in.

Who this is for

Farms and food businesses that need an Organic System Plan written or brought up to date, and anyone whose certifier sent the plan back with questions.

When to call us

Call before you start the forms. It is faster to write the plan once than to fix one that was sent back.

Our conflict of interest policy is simple: we never inspect an operation we consult for, and your certifier always makes the certification decision. Book a consultation to talk through where your operation stands and what it needs.
